Plant Administrative Specialist Job Description
This role provides comprehensive administrative, payroll, and accounting support for a busy plant operation. You will manage scale operations, process invoices and purchase orders, support plant leadership, and ensure accurate reporting of payroll, production, and inventory data. This position is ideal for a detail-oriented professional who enjoys working in a tight-knit team and supporting day-to-day plant operations.
Responsibilities- Operate the scale system to accurately weigh company, customer, and third-party trucks and record all related data.
- Process vendor invoices and purchase orders in a timely and accurate manner.
- Provide administrative support to plant management, including preparing documents, reports, and correspondence.
- Compile, enter, and report payroll information and production statistics for the plant.
- Track finished goods inventory, equipment utilization, plant costs, and labor hours to support operational efficiency.
- Purchase parts and safety supplies in alignment with plant needs and purchasing procedures.
- Maintain fuel inventory records and prepare equipment downtime reports.
- Prepare and complete month-end accruals and reporting to support accounting and financial processes.
- Process personnel changes and maintain accurate and organized employee files.
- Perform timekeeping activities using Kronos or similar payroll systems.
- Provide responsive customer service to internal and external stakeholders, including vendors, drivers, and plant staff.
- Perform general office management duties such as data entry, filing, and maintaining organized records.
- 2-3 years of experience in an administrative, payroll, or office support role.
- Experience with payroll processes, including timekeeping and payroll data entry.
- Hands-on experience with accounts payable, including invoice processing and purchase order management.
- Proficiency in basic Excel for data entry, tracking, and reporting.
- Experience with payroll ERP systems; familiarity with Kronos is preferred.
- Experience with accounting ERP systems such as Oracle or JD Edwards.
- Strong data entry skills with high attention to accuracy and detail.
- Ability to provide professional customer service in a plant or office environment.
- Strong organizational skills to manage multiple tasks such as purchasing, invoicing, and reporting.
- Ability to support plant management with administrative tasks and reporting needs.
Skills & Qualifications
- Experience working in a plant, industrial, or manufacturing environment.
- Background in office management or administrative support for operations teams.
- Knowledge of purchasing processes for parts and safety supplies.
- Familiarity with maintaining fuel inventory and equipment downtime records.
- Comfort working with multiple systems such as Kronos, Oracle, or JD Edwards.
- Ability to compile and interpret production statistics and cost data.
- Strong communication skills for interacting with vendors, drivers, and internal teams.
- Proactive, team-oriented mindset suited to a tight-knit work environment.
This position is fully onsite, Monday through Friday, from 7:00 a.m. to 3:00 p.m. You will work in a plant-based office environment closely connected to day-to-day operations, collaborating with a tight-knit team. The role involves regular use of computers, payroll and accounting systems such as Kronos and Oracle or JD Edwards, and standard office tools including Excel. The setting combines typical office duties with exposure to an active plant environment, requiring professionalism, reliability, and comfort working in a structured schedule.
Role is temporary at this site and long term in Oriskany Falls.
Job Type & LocationThis is a Contract to Hire position based out of Jordanville, NY.
Pay And BenefitsThe pay range for this position is $20.00 - $21.50/hr.
