Madison-Davis is seeking a Payroll & Billing Specialist to join our internal operations team in Elmsford. This person will support the full weekly process for our temporary employees and consultants, beginning with timesheet collection and payroll processing and continuing through client billing and invoicing.
At the beginning of each week, the role will focus primarily on reviewing timecards, processing payroll, and resolving missing or inaccurate time submissions. Once timecards are approved, the focus will shift toward billing those hours accurately based on client rates, purchase orders, project codes, and other client-specific requirements.
We are especially interested in candidates with strong billing experience who are comfortable learning the payroll and timekeeping side of the position. Experience working within staffing, consulting, or another high-volume professional services environment is strongly preferred.
Responsibilities- Review, track, and approve weekly timesheets for temporary employees and consultants
- Follow up on missing, incomplete, or inaccurate time submissions
- Process weekly payroll for assigned consultant populations
- Enter and maintain employee, pay-rate, client, and timekeeping information within internal systems
- Manage assigned client accounts and consultant populations
- Verify regular hours, overtime, expenses, deductions, and other payroll information
- Research and resolve payroll discrepancies and employee pay questions
- Maintain accurate payroll records and supporting documentation
- Review approved timesheets and prepare client invoices
- Confirm billing rates, purchase orders, project codes, and client-specific billing requirements
- Enter and maintain billing information within internal systems and client portals
- Identify and resolve rate discrepancies, rejected invoices, missing approvals, and other billing issues
- Coordinate closely with payroll, human resources, recruiting, sales, accounting, and client contacts
- Maintain organized billing records and supporting documentation
- Assist with invoice reconciliation and respond to billing-related questions
Support larger consultant populations and high-volume payroll and billing periods - Ensure payroll and billing deadlines are consistently met
- Previous billing experience is required
- Experience with payroll processing, timesheets, or timekeeping systems is preferred
- Candidates with stronger billing experience and an interest in learning payroll are encouraged to apply
- Experience with in staffing, consulting, professional services, or another high-volume billing environment is strongly preferred
- Strong attention to detail and accuracy
- Ability to manage multiple client accounts, consultant populations, and weekly deadlines
- Experience resolving invoice, rate, timecard, or payroll discrepancies
- Proficiency with Microsoft Excel and billing, payroll, or timekeeping systems
- Strong written and verbal communication skills
- Ability to handle confidential employee, compensation, and client information
- Organized, dependable, and comfortable working in a fast-paced environment
