Our client is a leading and mission-driven professional services organization and is seeking an experienced Senior Client Operations Specialist consultant to support its internal client account management and billing functions. This role offers a unique opportunity to work directly with attorneys and client stakeholders, ensuring operational excellence across billing, collections, and client engagement processes.
Key Responsibilities:
- Serve as a trusted partner to attorneys and internal teams to execute timely and accurate billing, collections, and client operations support.
- Interface professionally with client Accounts Payable teams to maintain strong, service-oriented relationships.
- Prepare and review monthly draft bills, resolve billing discrepancies, and ensure adherence to client-specific billing guidelines.
- Respond to time entry and billing inquiries; proactively advise timekeepers on compliance with timekeeping protocols.
- Obtain and process third-party expense documentation in accordance with client requirements.
- Manage the collections process by resolving delinquent accounts and escalating appropriately per firm policy.
- Review and maintain client/matter data to ensure accuracy within internal management and reporting systems.
- Oversee client engagement letters, ensuring they are timely, accurate, and compliant with firm standards.
- Provide accurate and timely reporting on billing and collections to supervisors in accordance with internal deadlines.
- Facilitate the processing of WIP & A/R write-offs, client refunds, and unapplied credit applications.
- Maintain all relevant records in compliance with firm policy and applicable legal requirements.
Qualifications:
- Bachelor’s degree preferred; academic background in finance, accounting, or business is advantageous.
- 3–5 years of experience in a client operations, billing, or finance-related role, ideally within a law firm or professional services setting.
- Strong attention to detail, with the ability to manage high volumes of information and meet multiple deadlines.
- Excellent communication and interpersonal skills, including experience working with demanding clients.
- High level of discretion and professionalism, particularly in handling sensitive or confidential information.
- Proficiency in Microsoft Excel; experience with Aderant and electronic billing platforms is highly preferred.
