Who You Are:
The In2
America Payroll & Tax Specialist is a client-facing role focused on payroll, invoicing, tax filings, deposits, and compliance. You’ll support clients and employees across a multi-state environment while helping develop best practices as our PEO and EOR operations grow.
The ideal candidate has strong payroll experience, a solid understanding of PEO operations, and working knowledge of federal, state, and local payroll tax requirements.
What You’ll Do:
Payroll & Client Support
- Process bi-weekly, semi-monthly and monthly payrolls across multiple clients and a distributed, multi-state employee base.
- Ensure timely submission and approval of non-exempt and temporary worker timesheets.
- Be the direct go-to-person for all payroll matters, including with holdings, deductions, garnishments, direct deposit, W-4 updates and benefits-related deductions.
- Assist clients with payroll questions, corrections, adjustments and reporting needs.
- Research and resolve payroll discrepancies, tax issues, and employee payroll inquiries.
- Maintain payroll records and documentation in accordance with company policies and regulatory requirements.
- Generate for approval and issue client invoices, payroll previews, and charge reports and assist in maintaining processes and calculations for invoicing.
- Prepare and upload payroll data to external platforms, providers and state portals such as 401(k), workers compensation and payroll reporting.
- Reconcile payroll deductions, carrier invoices and benefit funding, ensuring accurate remittances and timely resolution of discrepancies.
Tax & Compliance
- Prepare, reconcile, and oversee payroll tax filings for PEO clients.
- Ensure timely and accurate federal, state, and local tax deposits.
- Monitor tax notices and work to resolve agency inquiries and discrepancies.
- Assist with quarter-end and year-end tax processing, including Forms 941, state withholding returns, FUTA, SUTA, and annual reconciliations.
- Support W-2 processing and year-end tax reporting activities.
- Maintain knowledge of payroll tax regulations and compliance requirements across multiple jurisdictions.
- Monitor state unemployment insurance (SUI) rates and tax account changes, ensuring updates are reflected accurately within payroll systems.
- Assist with account registrations, tax agency correspondence, and tax account maintenance as needed.
- Support audit requests and compliance reviews related to payroll tax activities.
Client Implementation
- Support implementation of new clients, including payroll configuration, tax account setup, earnings and deduction mapping, benefits integration and first payroll validation.
- Work with the internal teams to ensure seamless sales to implementation handover.
- Train clients and employees on HRIS tools, including payroll access, time tracking, tax forms, expense management.
Other
- Identify opportunities to improve payroll, tax and invoicing processes through automation, documentation and continuous improvement initiatives.
- Assist with payroll system configuration, testing and implementation of new payroll functionality and legislative updates.
- Any other duties that may reasonably be expected to be performed, as and when required.
What You’ll Bring:
Required
- 3+ years of payroll processing experience.
- 1+ years of payroll tax experience.
- Strong understanding of payroll tax filing requirements and tax deposit processes.
- Knowledge of federal, state and local payroll tax regulations.
- Proficiency with payroll software platforms and Microsoft Excel.
