Position Summary

The Bookkeeper / Office Support is a dual-function role that keeps the financial and administrative engine of Contractor General running accurately and efficiently. On the bookkeeping side, this person owns day-to-day financial recordkeeping — AP/AR, reconciliations, financial reporting, and supporting tax and audit preparation. On the office support side, they are the operational backbone of the branch office — handling customer-facing interactions, processing invoices and receipts, and making sure the administrative side of the business stays organized and professional.

Contractor General is a company in build mode. This role requires flexibility, a willingness to pitch in where needed, and comfort operating without a fully defined playbook. The right person is detail-oriented, trustworthy with confidential information, and brings a customer-first attitude to everything they do.

Key Responsibilities

Bookkeeping & Financial Management

  • Maintain accurate financial records using bookkeeping software (Quick Books or similar) and Google Sheets
  • Process accounts payable and receivable — paying bills, collecting outstanding balances, and managing creditor payments in a timely manner
  • Reconcile all accounts on a regular basis to ensure accuracy and identify discrepancies
  • Prepare financial statements, income and expenditure reports, and accounting summaries for management review
  • Draw up the trial balance and year-end balance sheet
  • Calculate and assist with tax preparation; stay current on applicable state and federal financial regulations
  • Assist with audit preparation and provide supporting documentation as needed
  • Maintain and secure all financial records — current and historical — in an organized and confidential manner
  • Manage the petty cash fund, including tracking disbursements and replenishment

Office Operations & Customer Service

  • Process sales invoices, receipts, and returns accurately and in a timely manner
  • Handle customer inquiries and complaints promptly and professionally, representing Contractor General in a positive and caring manner
  • Maintain customer confidence by keeping service and financial information appropriately confidential
  • Order and maintain office supplies inventory
  • Maintain a clean, organized, and professional work environment
  • Participate in ongoing training and professional development to stay current with relevant tools, regulations, and best practices

Other Duties

  • Support the General Manager and broader team with administrative tasks, special projects, and operational needs as the business grows and evolves
  • Other duties as assigned — we are building something here, and everyone on the team pitches in

Qualifications

Required

  • High school diploma or equivalent
  • 2+ years of experience in bookkeeping, office administration, or a similar role
  • Proficiency with bookkeeping or accounting software (Quick Books or similar)
  • Strong working knowledge of Google Workspace, particularly Google Sheets
  • Solid understanding of basic accounting principles and financial recordkeeping
  • High degree of accuracy, attention to detail, and organizational ability
  • Strong interpersonal and communication skills with a customer-first attitude
  • Ability to handle sensitive and confidential information with discretion
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment

Preferred

  • Associate’s degree in Accounting, Business, or a related field
  • Experience in construction supply, building materials, or a trade-based business
  • Familiarity with accounts payable and receivable in a product distribution or manufacturing environment
  • Experience supporting HR or personnel administration functions
  • Exposure to inventory reconciliation or operational cost tracking
  • Quick Books certification or equivalent credential
