Payroll SpecialistLocation:
Midtown Manhattan, New York, NY 10018 (In-Office Only)
Job Type: Full-Time (10:00 AM – 6:00 PM)
Salary: $70,000.00 – $80,000.00 per year (commensurate with experience)
Position OverviewWe are seeking an experienced and detail-oriented Payroll Specialist to join our team in Midtown NYC. In this full-time, on-site role, you will be responsible for managing end-to-end payroll processing for over 100 client companies. The ideal candidate possesses deep hands-on expertise in cloud-based payroll software, Quick Books integration, and complex payroll tax compliance. You will work closely with bookkeepers, accountants, and client representatives to ensure high accuracy, timely processing, and exceptional client support.
Key Responsibilities- Payroll Processing & Distribution: Execute full-cycle payroll processing via direct deposit and paper checks for 100+ client entities using cloud-based software.
- Accounting & System Integration: Set up, configure, and upload payroll data to Quick Books. Collaborate closely with internal and client bookkeepers and accountants.
- Tax & Compliance Management: Handle SUI setup, workers' compensation, disability, and state/federal tax compliance. Generate, navigate, and file payroll tax returns.
- Audit & Dispute Resolution: Manage compliance audits, address payroll-related issues, and directly draft/respond to inquiries from the IRS and state tax authorities.
- Reporting & Maintenance: Generate monthly, quarterly, and annual payroll reports; maintain organized client electronic files and records.
- Client Service: Serve as the primary point of contact for client payroll inquiries, providing clear, professional, and timely resolution to all questions.
- Experience: Minimum of 5 years of dedicated payroll processing experience required.
- Software Proficiency: Minimum of 3 years of experience with Microsoft Excel required. Must be highly proficient in Quick Books and cloud-based payroll platforms.
- Tax Knowledge: Solid understanding of multi-company payroll operations, SUI, workers' comp, disability, and federal/state tax resolution.
- Commute: Must be able to commute daily to the office in New York, NY 10018.
