Massimo Bonini is seeking a highly organized and detail-oriented Accounting & Administrative Coordinator to join our New York team.
This is a hands-on role supporting the day-to-day accounting, financial, and administrative operations of our U.S. business. The ideal candidate is proactive, precise, comfortable managing multiple priorities, and able to work independently while coordinating with our external accounting firm, banks, vendors, and internal team.
Key Responsibilities- Manage accounts payable, payment schedules, and vendor payments
- Manage accounts receivable, collections, and customer invoicing
- Maintain accurate accounting and administrative documentation
- Prepare preliminary accounting entries and supporting documentation for the external accounting firm
- Perform account and bank reconciliations and balance checks
- Coordinate with banks on routine operational matters
- Support monthly, quarterly, and annual financial reporting in coordination with the external accounting firm
- Assist with budgeting and forecasting, including actual vs. budget variance analysis
- Support year-end closing and audit preparation
- Manage vendor onboarding, including W-9/W-8
BEN documentation and payment setup - Liaise with external suppliers, insurance providers, technicians, and other third parties regarding contracts, quotes, orders, and services
- Handle personnel-related administrative requirements and documentation
- Maintain corporate records, licenses, insurance renewals, and vendor contracts
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
- 2–4 years of relevant accounting, bookkeeping, finance, or administrative experience
- Strong understanding of accounts payable, accounts receivable, reconciliations, and basic accounting principles
- Excellent Excel skills and confidence working with accounting and online banking platforms
- Highly organized with exceptional attention to detail
- Strong analytical and problem-solving skills
- Comfortable working independently and taking ownership of day-to-day responsibilities
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Experience in fashion, luxury, wholesale, or a small-to-medium-sized business environment is a plus
Location: New York City
Schedule: Part-time, Monday–Friday (20 hours/week)
Hybrid: 3 days per week in office, 2 days remote
