We currently have an excellent full-time opportunity in our Real Estate/Planning, Design, and Construction departments for an experienced Administrative Assistant. The successful candidate will be capable of multitasking in a deadline-driven environment and will be responsible for various administrative functions.
Responsibilities- Compose and type correspondence for the division, open mail, route calls, and perform clerical functions.
- Schedule meetings and maintain daily calendars.
- Arrange conferences, including scheduling speakers, handling payments, booking rooms, and coordinating catering.
- Take and transcribe minutes at meetings.
- Maintain inventory of supplies and manage databases and spreadsheets.
- Prepare purchase orders and check requests for office supplies.
- Set up and maintain departmental filing systems.
- Research topics for administrative reports, statements, and rosters.
- High School diploma or equivalent; 1-2 years of college preferred.
- 2-3 years of executive secretarial experience required.
- Proficiency in MS Office, especially Word; typing and Word skills will be tested.
- Knowledge of Medical Terminology is essential.
- Ability to transcribe from shorthand, longhand, or Dictaphone.
- Strong typing skills at 55 WPM (tested).
- Excellent interpersonal and communication skills in English, both verbal and written.
USD $51,000.00 - USD $63,000.00 per year.
