A Well‑known Global Investment Banking Advisory Firm in Midtown Manhattan is seeking a new Executive Assistant to support two top‑level executives in their Human Capital Group. Candidates must have a minimum of 5‑8+ years of applicable administrative experience, ideally working in financial services or within a human capital/HR‑related department, and a Bachelor’s degree is required. The ideal candidate is a highly motivated, proactive, and detail‑oriented individual with a strong work ethic and excellent problem‑solving skills.
They should also be accustomed to working in a very busy, fast‑paced, and ever‑changing environment with a focus on client service.
Salary: 90‑110k base, plus paid overtime (15‑20k) and discretionary bonus (10‑15%).
Hours: 9:00am – 6:00pm; hybrid schedule (4 days in‑office / 1 day remote).
- Extensive calendar management for the Co‑Head and Managing Directors.
- Anticipate and resolve potential scheduling conflicts with urgency and professionalism.
- Gatekeeper for the Co‑Head and MD; screen calls and handle inquiries to maximize managers’ time.
- Handle confidential materials with integrity and discretion.
- Liaise frequently with other departments to coordinate meetings and troubleshoot issues.
- Prepare and process expense reports using Workday.
- Coordinate domestic and international travel arrangements as needed.
- Provide additional administrative support: copying, filing, scanning, printing, setting up video conferences, booking rooms, ordering food/drinks, etc.
- Participate in ad‑hoc projects and perform other duties as assigned.
- 5‑8+ years of administrative experience in financial services or human capital/HR department.
- Bachelor’s degree required/strongly preferred.
- Punctual, organized, and extremely detail‑oriented.
- Excellent analytical, time‑management, and organizational skills.
- Superior communication and interpersonal skills with ability to develop rapport at all levels.
- Strong team player with positive attitude and willingness to assist with all duties.
- Proficiency in Microsoft Office suite (Outlook, Excel, PowerPoint, Word).
- Independent and strategic thinker with sound judgment.
