You’re a great fit if you:
  • You have 3+ years of administrative experience, ideally in financial services or other fast-paced environments

  • You are highly organized, detail-oriented, and able to manage multiple priorities under pressure

  • You have strong communication skills and a service-oriented mindset

  • You are comfortable learning new software and systems quickly

  • Bachelor’s degree or equivalent experience preferred

  • New York State notary certification is a plus

Your Responsibilities:
  • Serve as backup to the Office Administrator to ensure seamless coverage of critical office functions

  • Provide high-quality administrative support, including travel coordination, expense processing, and scheduling assistance

  • Maintain office supplies and resources to support daily operations

  • Coordinate all incoming and outgoing mail and courier services

  • Manage shared conference room scheduling and serve as primary contact for meetings

  • Liaise with building management and external vendors to coordinate maintenance requests and resolve facility needs

  • Support onboarding logistics for new hires, including workspace setup and equipment requests

  • Oversee daily meal service and coordinate catering and communications for in-office events
