Office Administrator/ Coordinator, Front Desk/Receptionist

Job Overview
Reports To: The Receptionist reports to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Receptionist Overview: The Receptionist provides exceptional service by greeting and assisting all visitors, answering inbound calls, and maintaining a professional image of the company. The role is cross‑trained and may assist in mail/shipping operations, hospitality, and general office/facilities work as needed.
Role & Responsibilities- Guest Experience – Register guests with building security and provide a gracious arrival experience for all colleagues and guests.
- Hospitality – Capture individual preferences for future visits and accommodate special requests creatively.
- Meeting Management – Resolve schedule conflicts, troubleshoot, and coordinate with Administrative Assistants to handle all meetings professionally.
- Meeting Support – Coordinate catering, employee lunch orders, set up in‑room services, ensure AV is functional, and maintain room supplies.
- Facilities – Report maintenance needs, coordinate work, prioritize resolution, and support pantry and cleaning needs.
- Administrative – Promptly answer the main company line, route calls and messages, and assist with reporting and other assigned projects.
- Cross‑train floater coverage for backup support.
- 2+ years of professional experience, preferably in a mid‑to‑large sized organization.
- Strong customer service mindset and proven support track record.
- Professional, positive demeanor; dependable and punctual.
- Proficiency with Microsoft Office applications.
- Schedule flexibility and independent judgment.
- Attention to detail, confidentiality, and effective communication skills.
- Performance mindset – both executing tasks and seeking improvement.
- Ability to lift 40‑60 lbs. on a standard wheeled cart or manually.
- Ability to walk, bend, kneel, stand, and sit for extended periods.
- Manual dexterity required for office machinery (phone, copier, binding equipment).

CompensationExpected compensation is an estimate, and the final offer will depend on skills, experience, and other job‑related factors.
Pay Range: $26 - $30 USD.
