Location: New York

Concern Housing – Administrative Assistant

We are looking for an Administrative Assistant to provide general office support and manage key accounting functions including cash receipts, client check distribution and data entry.

Days/Hours

Monday – Friday; 8 a.m. – 4 p.m.

Responsibilities
  • Answer agency phones and greet visitors.
  • Open, screen, date‑stamp and distribute incoming mail; stamp outgoing mail daily.
  • Maintain office supply inventory and prepare purchase orders during the second and third weeks of each month.
  • Type documents, letters, etc., and make copies as needed by staff.
  • Assist the Director/Supervisor with secure filing of tenant charts, LIHTC documents and inventory for tax credit audits and OMH reviews.
  • Support the Program Director with administrative tasks as required.
  • Collaborate with Property Maintenance to keep the YARDI work‑order system up to date.
  • Manage the Office Equipment Room, ensuring all machines (copier, fax, shredder) operate properly and supplies in common areas are stocked.
  • Keep the office neat and orderly, including reception area, waiting room, conference rooms and kitchenette.
  • Oversee rent‑payment system, copying and logging all cash receipts and processing tenant check payments.
  • Transfer and record check information into an Excel spreadsheet.
  • Work with the Director and Supervisor to track health‑care outcomes and maintain a care‑coordination database.
  • Stay current with all agency‑required compliance documents and trainings.
Requirements
  • High school diploma or equivalent.
  • Minimum four years of administrative experience.
  • Proficiency in Microsoft Word and Excel.

Salary

$21.00 – $24.00 per hour.
