Responsibilities
  • Maintain the VP's appointment schedule by planning and scheduling business and personal meetings, conferences, teleconferences, as well as coordinating travel arrangements.
  • Assist the VP with daily administrative duties and complete a broad variety of administrative tasks, including reports, correspondence, complex travel plans, itineraries and agendas, and meeting materials.
  • Assist and support the VP in preparing for meetings, including preparing meeting materials, tracking progress and follow-up items, and preparing and revising correspondence and other documents as necessary.
  • Work closely with the VP to keep them informed of upcoming commitments and responsibilities, following up as needed.
  • Serve as the primary contact for the company, greet and establish rapport with employees, clients, visitors, and all other guests entering and exiting the office.
  • Answer and direct telephone calls, relay important information promptly and clearly, maintaining confidentiality as needed.
  • Notify the VP of important dates and meeting appointments.
  • Input expenses into the Concur system and follow up accordingly.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Plan, coordinate, organize, and assist at various company meetings, events, and celebrations.
  • Coordinate to manage inventory of the company's supplies and reordering as needed.
  • Be easily accessible for after-hours travel, scheduling, and other needs.
  • Pick up deliveries and run errands as needed for the VP for business reasons.
  • Demonstrate project management ability with strong proficiency in Teams, PowerPoint, Excel, and ability to learn new technologies.
  • Lead the creation and compilation of Real Estate Site Tour packages and Real Estate Committee Decks with support from cross-functional partners.
  • Reach out to external partners (landlords, operations partners, etc.) to share and/or request information to support Real Estate site tours, meeting requests, etc.
Requirements
  • 3+ years experience; a combination of education and experience will be considered.
  • Proficiency with Microsoft Office (Word, PowerPoint, Outlook/PDF, Excel, Teams).
  • Highly organized and self-motivated.
  • Excellent verbal and written communication skills in English and Vietnamese.
  • Detail-oriented with good time management skills and the ability to prioritize work.
  • Demonstrates initiative, anticipates needs, and exercises independent/sound judgment.
