We are conducting a search for a Superstar Corporate Law Firm Executive Assistant/Legal Secretary!

Are you ready to embark on an exciting journey as a key member of our global law firm team? We're seeking a dynamic individual to take on the role of Executive Assistant/Legal Secretary, but this is far from your typical desk job. In this position, you'll be a master of multitasking, a problem‑solving whiz, and a guardian of our partner's day‑to‑day success.

What You’ll Do:

Concierge Extraordinaire:
  • Keeping our partner's schedule in tip‑top shape
  • Making sure everything runs like clockwork for our fee earners
  • Expertly coordinating meetings and smoothing out potential hiccups
  • Herding our attorneys to meetings, ensuring they're armed with the right tools
Master of Communications:
  • Answering calls with a dash of professionalism
  • Skillfully managing emails and mail, getting them where they need to go
  • Playing mail detective and ensuring no task goes unfinished
Travel Wizard:
  • Crafting comprehensive travel experiences
  • Booking flights, hotels, and more
  • Creating itineraries that'll make travelers' hearts skip a beat
Document Dynamo:
  • Preparing client documents and correspondence
  • Typing up various documents, including legal materials
  • Being the quality control expert, ensuring everything is perfect
Financial Guru:
  • Making the billing process look like a breeze
  • Taking care of expense claims and ensuring accuracy
  • Coordinating with the billing team to ensure nothing falls through the cracks
Business Development Dynamo:
  • Organizing client events, big and small
  • Keeping our records up to date
  • Building relationships and helping our team stay informed
What You’ll Bring :
  • A minimum of 15 years of secretarial experience at a global firm
  • Bachelor's degree preferred
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Experience with iManage and 3E Elite is a plus
  • Flexibility and the ability to work on-site 3 days a week
  • Top‑n OT organizational skills and an eagle eye for detail
  • A proactive problem‑solver
  • Someone who brings a positive attitude to everything they do
  • A guardian of trust and confidentiality
  • Stellar communication skills, both written and verbal
