Job Description

Have you supported executive-level leaders through meeting scheduling, expense reports, and other special projects? If you enjoy this work and would like to interact with internal leaders and external stakeholders daily, this may be the role for you!

This role will be part of the Finance Organization, reporting to and supporting the global Head of Investor Relations. You will be responsible for maintaining a dynamic Investor Relations calendar, coordinating department operations and managing various projects for ongoing department initiatives.

What The Day Will Look Like

  • Schedule and coordinate meetings for external and internal partners, including both in-person meetings and conference calls. This includes bringing together invitees in a timely fashion, despite complex logistics, multiple time zones, a dynamic environment and limited availability.
  • Arrange all travel and logistics—including international travel—via corporate travel systems and/or directly with travel vendors. Handle any re-booking and scheduling changes that arise en route/real time.
  • Manage expense books for all other department team members using corporate financial software to ensure timely account payment.
  • Manage executive calendars and respond to incoming meetings requests.
  • Provide administrative and project-management support for Board Meetings, Aon Executive Committee meetings and other executive committees and teams within Aon.
  • Implement strategic action plans using project management skills for on-time delivery of identified business objectives.
  • Collaborate with internal partners supporting the Finance organization and Aon Executive Committee.
  • Act as a key resource for the team, i.e., independently seek out answers to questions, take initiative, leverage network of resources to solve problems and proactively cascade knowledge to peer network.
  • Support logistics arrangements for investor events at Aon offices in NYC and around the country.
  • This list is not all inclusive; other tasks may vary based on business need.
Skills And Experience That Will Lead To Success

  • 7+ years of experience in a professional administrative support role supporting the C-Suite level highly desired; previous experience with Investor Relations departments a plus.
  • Position based in our NYC office located downtown, easily accessible via public transportation.
  • Ability to prioritize among competing demands in a dynamic professional environment is a requirement.
  • Advanced skills in the MS Office including Outlook, Teams, Word, Excel and PowerPoint.
  • Ability to work in a highly matrixed environment.
  • Self
    -motivated with an ability to proactively recognize opportunities for continuous improvement.
  • Ability to communicate effectively with all levels on the organization desired.
  • Ability to demonstrate discretion and sound judgment when interacting with internal and external parties.
  • Maintains strict confidentiality, attention to detail. Proven ability to keep financial, legal, and other information confidential.
  • Excellent written and verbal communication skills, including proofreading.
  • Strong problem-solving and organizational skills. Attention to detail a must.
