We are seeking a detail-oriented and highly organized Operations & Administrative Specialist to support one of three core operational tracks:
Approvals
, Compliance & Quality Assurance
, or Payroll
.
All tracks play a critical role in maintaining accurate documentation, regulatory compliance, and smooth day-to-day operations across the organization.
Core Responsibilities (All Tracks)- Maintain accurate records, documentation, and data entry systems
- Follow internal policies, regulatory standards, and deadlines
- Review information for accuracy and completeness
- Communicate with internal teams to resolve discrepancies or missing information
- Track tasks and workflows to ensure timely completion
- Support audits, reporting, and operational improvements
- Handle sensitive information with confidentiality and professionalism
Approvals Track
- Process and track service or authorization requests
- Review submissions for completeness and eligibility
- Coordinate with teams to ensure timely approvals
- Maintain approval logs and status updates
- Monitor adherence to policies, procedures, and regulatory requirements
- Conduct file reviews and internal audits
- Identify risks or gaps and recommend corrective actions
- Support preparation for external reviews or inspections
- Process payroll accurately and on schedule
- Verify timesheets and employee data
- Maintain payroll records and resolve discrepancies
- Ensure compliance with wage and labor regulations
- Bachelor’s degree or equivalent experience preferred
- 1–3 years of administrative, operations, compliance, or payroll experience
- Strong attention to detail and organizational skills
- Comfortable working with spreadsheets and data systems
- Ability to manage multiple deadlines
- Discretion with confidential information
- Clear written and verbal communication
