Overview
The Legal Talent Assistant is responsible for providing administrative and operational support to the Legal Talent Department, assisting with key aspects of the attorney life cycle, including bar admission tracking, departures, new hire onboarding and the associate review process.
EssentialJob Duties & Responsibilities
- Maintain up to date office files, databases, confidential records, forms and other related information for the department verifying data for accuracy and completeness; other general administrative duties.
- Process, track, follow-up on, and monitor bar admissions, including for new hires; prepare bar affidavits; liaise with Purchasing to process business cards for newly admitted attorneys; and provide regular updates to Director of Legal Talent.
- Process attorney departures, including sending departure procedures to departing attorneys, notifying relevant internal departments, and terminating attorneys in applicable systems.
- Assist with the onboarding process for new hires, including but not limited to reviewing background checks; liaising with the Conflicts department for conflict checks; tracking onboarding documents; processing stipends and salary advances; sending pre-start communications; and facilitating new hire orientations for lateral hires.
- Assist with the coordination and administration of the semi-annual attorney review process; collaborate with the Legal Talent department and attorney populations to ensure evaluation files are complete; assist with review file distribution and maintenance of relevant tracking charts.
- Process health club reimbursements and invoices; maintain tracking documents to ensure reimbursements are properly disbursed in accordance with the policy.
- Process annual bar association membership dues; maintain tracking documents to ensure requests comply with firm policy.
- Coordinate and send life event gifts to attorneys for births, weddings and condolences.
- Provide ongoing general support to the Legal Talent department, including ensuring consistent information sharing across offices; and staying current on firm news and peer firm trends.
- Assist with regular reporting requirements to support the Legal Talent team, as needed.
- Provide seasonal administrative support to the Legal Recruiting function, as needed.
- Perform other relevant duties as assigned.
- Must be flexible to adjust hours to meet departmental needs.
- Bachelor’s Degree required
- 1-2 years of relevant administrative or professional experience, preferably in a legal, professional services or human resources environment.
- Proficiency in Microsoft Word and Excel; familiarity with Microsoft Outlook Suite.
- Strong interpersonal, organizational, and communication skills with a high level of attention to detail.
- Ability to organize, prioritize, and manage multiple tasks and projects in a fast-paced, high-pressure environment.
- Client service oriented, with the ability to interact professionally and effectively with attorneys, clients, colleagues and external contacts.
- Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
NY Only:
The estimated base salary range for this position is $60,000 to $70,000 at the time of posting. The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
This role is non-exempt meaning it is overtime pay eligible.
