OVERVIEW

The Office Manager ensures the seamless operation of the corporate office and contributes significantly to the employee experience. This role oversees daily office management, supports building relationships and renovations, participates in team‑building and CSR activities, and provides direct administrative support to leadership. Under the supervision of the People Partner, the Office Manager also assists with HR activities such as recruiting, onboarding, communications, and maintaining company documentation.

RESPONSIBILITIES

Corporate Office Management

  • Serve as the main point of contact with building administration and external vendors.
  • Oversee daily office operations to maintain a clean, organized, and well-equipped environment.
  • Manage office supply inventory and coordinate purchasing as needed.
  • Support planning and execution of the upcoming office renovation project, including communication and logistics.
  • Manage office access, visitor registration, and facility needs.

People Partner Support

  • Assist with job postings, interview scheduling, candidate communication, and supporting hiring managers.
  • Help prepare onboarding materials, coordinate new hire setup, and welcome new employees.
  • Support updates to HR policies, procedures, employee handbooks, and internal documents.
  • Assist the People Partner in sharing updates with employees regarding culture, benefits, birthday calendars, employee gifting, and other engagement initiatives.

Management Assistance and Team Support

  • Support leadership with scheduling, meeting coordination, and general administrative needs.
  • Coordinate travel arrangements for leadership and team members, including itineraries and accommodations.
  • Prepare and distribute accurate minutes of meetings and track follow-up actions.
  • Assist with reports, presentations, and internal communications as needed.
  • Assist with executive and global team visits, including scheduling, logistics, meeting room preparation, and onsite hospitality.

Team Building & CSR Activities

  • Assist with planning, coordinating, and delivering team‑building events and activities.
  • Support CSR initiatives, community engagement projects, and related logistics.
  • Collaborate with the People Partner to track event budgets, timelines, and vendors.

Office Experience & Employee Support

  • Serve as a welcoming point of contact for employees and visitors.
  • Collaborate with the People Partner to ensure a positive, service-oriented workplace atmosphere.
QUALIFICATIONS
  • 3+ years of experience in office management, administration, or a related role.
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Proactive, adaptable, and solutions-oriented mindset.
  • French language knowledge is a strong plus.
