We are seeking a highly organized, discreet, and proactive Personal Assistant to support senior leadership at a fast‑paced wholesale company based in New York City. This is a high‑level role requiring exceptional attention to detail, strong judgment, and the ability to seamlessly manage both personal and business‑related responsibilities.
The ideal candidate is resourceful, flexible, and thrives in a dynamic environment where priorities can shift quickly. This role serves as a trusted right hand, handling a wide range of tasks, from complex scheduling and travel coordination to personal errands and administrative support, ensuring daily operations run smoothly and efficiently.
Key Responsibilities Executive & Personal Support- Provide comprehensive support across both professional and personal matters
- Manage complex calendars, scheduling meetings, appointments, and personal commitments
- Coordinate domestic and international travel, including flights, hotels, ground transportation, and itineraries
- Handle correspondence, emails, phone calls, and follow‑ups on behalf of leadership
- Prepare documents, reports, and presentations as needed
- Assist with billing, expense tracking, payments, and financial organization
- Act as a point of contact between leadership and internal teams, vendors, and external partners
- Track deadlines, priorities, and action items to ensure nothing falls through the cracks
- Support special projects and initiatives across departments
- Manage personal errands, appointments, and discretion
- Coordinate household or personal services as needed
- Anticipate needs and proactively solve problems before they arise
- Handle sensitive information with the highest level of confidentiality and professionalism
- Exercise sound judgment in all communications and decision‑making
- Proven experience as a high‑level Personal Assistant, Executive Assistant, or similar role
- Strong organizational and time‑management skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to multitask, prioritize, and adapt in a fast‑paced environment
- High degree of professionalism, discretion, and reliability
- Experience supporting executives in a business or entrepreneurial environment
- Strong proficiency with productivity tools, calendars, and office software
- Comfort managing both business and personal tasks seamlessly
- Proactive, resourceful, and solution‑oriented
- Calm under pressure with strong problem‑solving abilities
