Real Estate firm managing a diverse portfolio of commercial office buildings, retail spaces, and residential properties across Manhattan, Westchester County, Connecticut, and New Jersey.
Seeking a detail-oriented Lease Administrator /
Paralegal to play a key role in managing the leasing administration.
Responsible for preparing, reviewing, executing, tracking, and administering lease documents across our commercial and residential portfolios. Ensure all leases are properly documented, compliant, and accurately reflected in the systems, while supporting Property Managers, Leasing Agents, and Accounting with timely, accurate lease data.
Highly visible role that requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple priorities in a fast-paced environment.
KEY RESPONSIBILITIES- Prepare, review, and finalize lease documents (new leases, renewals, amendments, assignments, subleases, etc.) using standardized templates.
- Coordinate lease execution process, including obtaining tenant and landlord signatures, collecting required documentation (security deposits, guaranties), and managing electronic signature (Docu Sign)
- Track and manage critical lease dates (renewal notices, expiration dates, rent commencement, option exercise deadlines, CAM reconciliations) and proactively notify Property Managers to coordinate renewals.
- Assist with lease renewals: prepare renewal proposals, coordinate negotiations, and document final terms
- Assist with rent collections by reviewing rent rolls for accuracy and delinquencies, collaborating with Property Managers on accounts requiring legal action, and coordinating with attorneys to prepare and issue required notices
- Maintain organized, up-to-date lease files (physical and digital) and ensure data integrity in the property management/lease administration software.
- 2–5+ years of experience in lease administration, commercial real estate, property management, or a related administrative role
- Strong working knowledge of commercial and/or residential lease agreements and common lease terms
- Excellent organizational and time-management skills with the ability to prioritize and meet deadlines
- Proficient in Microsoft Office (Word and Excel), Adobe Pro, Docu Sign platform.
- Strong written and verbal communication skills, Bachelor’s degree (Business, Real Estate, or related field preferred but not required)
