Overview
The National Urban League seeks a forward-thinking Administrative Assistant in the Talent Management department. Under the supervision of the Vice President, Human Resources, the Assistant will be responsible for a broad range of high level administrative and operational support across a complex portfolios of initiatives, partnerships, contracts and convenings related to the Whitney M. Young Jr. Center for Leadership.
The ideal candidate is organized, analytical, and results-oriented administrator who exercises sound judgement, discretion and attention to detail while supporting executive staff and cross functional collaborators. This individual must be comfortable managing multiple work streams, navigating shifting priorities, and coordinating time sensitive activities with internal and external stakeholders. The Assistant must also be a consummate professional who works well in a team environment and is willing to pitch in where and when necessary to support the mission and goals of the department.
Responsibilities- Maintains, manages, and coordinates the Vice President’s meeting and travel calendar using Microsoft Outlook, including meetings with internal and external stakeholders; proactively resolves conflicts and attempts to ensure alignment across competing priorities.
- Manages and tracks the contract process, working in coordination with the team’s designated contract lead; supports the preparation, routing, execution, amendment, and monitoring of consultant and vendor agreements
- Assists in the development and management of processes.
- Manages transportation and accommodation arrangements and coordinates all other meeting-related logistics.
- Supports leadership training initiatives and special projects.
- Submits and tracks and reconciles invoices, payments, and expense reports; maintains organized records and follows up as needed to ensure timely processing.
- Schedules meetings; prepares agendas; and records minutes for weekly meetings.
- Assists in the drafting of documentation, and management of administrative and operational processes associated with the WMYCL, including tracking tools, templates, timelines, and internal workflows to support efficient execution of the WMCL initiatives
Education
:
- Bachelor’s degree in business administration or related field or an acceptable combination of experience and training.
Experience
:
- Experience working in a fast-paced environment.
- At least five years of experience providing administrative or project management support.
Knowledge &
Skills:
- Strong written and verbal communication
- Proficiency in meeting platforms (Teams and Zoom)
- Excellent organizational and time-management skills with the ability to prioritize multiple tasks effectively
- Advanced technology proficiency
- Must have advanced knowledge of Microsoft Excel, PowerPoint, and other Microsoft Office applications
- Must be organized and detail-oriented
- Strong interpersonal skills and ability to handle sensitive and confidential information
- Must demonstrate poise, tact, and professionalism in interactions
- Must be able to interact and communicate with individuals at all levels of the organization
- Ability to travel 10%-15%
- Hybrid position

- Must be able to lift up to 15 pounds
