Location: New York

Our client, a publicly traded real estate company, is seeking an Operations Coordinator / Receptionist to support its New York City office.

This individual will assist with daily office operations while also providing backup reception coverage for breaks, lunches, PTO, and occasional evening coverage. Responsibilities include invoice processing, onboarding coordination, conference room management, tracking packages and messengers, maintaining floor plans and office calendars, and delivering a polished, professional front-of-house presence.

Primary Duties and Responsibilities
  • Code and process invoices and maintain monthly spreadsheets
  • Assist with new hires and set up desk accessories
  • Assist with billing inquires and payment research
  • Covers mailroom assistants when needed
  • Update floor plans
  • Maintain department calendar
  • Monitor Sharebite program
  • Open and close office doors
  • Answer phones, respond to inquiries from public and route calls to appropriate staff in a courteous and professional manner
  • Greet, welcome and direct guests and visitors in-person and on the phone
  • Schedule conference rooms for meetings
  • Organize and manage reception area
  • Inform mailroom when meetings are over in conference rooms
  • Sign and tip for all lunch deliveries
  • Sign for all incoming packages and record in delivery receipt spreadsheet
  • Send out all delivery packages and record in the outgoing messenger spreadsheet
  • Report any cleaning or lighting issue in Angus
  • Retrieve end of day delivery details from SBM messenger center
Job Qualifications
  • Excellent attendance and punctuality
  • Must have a good telephone voice and exhibit excellent telephone etiquette
  • Must present a professional appearance and friendly, positive demeanor
  • Reliable, dependable, flexible, and versatile
  • Excellent verbal and listening skills
  • Ability to multi-task while still exhibiting good judgment and poise in a fast-paced environment
