We are seeking a highly organized, proactive, and detail‑oriented Administrative Assistant to join our dynamic team. This role is pivotal in ensuring the smooth and efficient operation of our office, providing comprehensive administrative support to management and various departments. As an Administrative Assistant, you will be the backbone of our daily operations, handling a diverse range of tasks from managing schedules and organizing meetings to streamlining communication and maintaining crucial records.

Responsibilities
  • Provide high‑level administrative support to senior management, including scheduling appointments, managing calendars, and arranging travel logistics.
  • Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and distributing meeting materials.
  • Manage and maintain office supplies inventory, placing orders as needed and ensuring cost‑effectiveness.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and physical mail, directing to appropriate personnel.
  • Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to company branding guidelines.
  • Maintain organized physical and electronic filing systems, ensuring quick retrieval of information.
  • Assist with data entry, record‑keeping, and database management tasks.
  • Coordinate office events, team gatherings, and special projects as required.
  • Act as a primary point of contact for internal and external stakeholders, providing professional and courteous assistance.
  • Liaise with vendors and service providers, managing invoices and ensuring timely payments.
Requirements
  • Proven experience as an Administrative Assistant or in a similar administrative role, preferably within an Indian corporate setting.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
  • Excellent written and verbal communication skills in English; proficiency in Hindi or another dominant regional language is a plus.
  • Strong organizational and planning skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Meticulous attention to detail and a high level of accuracy in all work.
  • Ability to work independently with minimal supervision and as part of a team.
  • Discreet and able to handle confidential information with utmost integrity.
  • A proactive attitude with a strong sense of initiative and problem‑solving abilities.
  • Familiarity with basic office equipment, such as printers, scanners, and projectors.
Qualifications
  • Bachelor’s degree in Business Administration, Commerce, or a related field preferred.
  • Diploma or certificate in Office Administration or Secretarial Practices is a distinct advantage.
  • Minimum of 2–4 years of relevant administrative experience.
  • Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams) and cloud‑based document management systems.
  • Demonstrated ability to adapt to new technologies and software quickly.
