As we continue to grow, we’re looking for a Construction Administrative Assistant who thrives in fast-paced environments, leads with precision, and is passionate about bringing ambitious visions to life.
The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.
Responsibilities- Provide direct administrative and operational support to the Director of Construction
- Manage and coordinate active calendars for the Director of Construction and project leadership
- Schedule, confirm, and prepare meetings, site visits, and project touchpoints
- Supporting project coordination to help deliver high-quality work on time
- Ensure file organization and documentation follow office protocol and compliance standards
- Support communication flow between project managers, field teams, subs, clients and leadership
- Prepare materials, summaries, and follow-ups for leadership meetings
- Provide ad hoc support around office as needed
- 3+ years of experience, preferably within construction, architecture, engineering, or a related industry
- Excellent interpersonal, customer service and communication skills
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously
- Proficient in Microsoft Office suite, and Procore experience is a plus
- Ability to maintain discretion and professionalism when handling sensitive information
- Self-starter with the ability to anticipate needs and take initiative
- Strong time management skills and ability to meet tight deadlines
- Collaborative mindset with confidence interacting across field and office teams
