Administrative Assistant – Construction
Schedule: Mon–Fri, 8am–5pm
Pay: $25–$27/hr
A busy construction company is seeking a highly organized Administrative Assistant to support Estimating, Project Management, Contracts, and Recycle Operations.
Responsibilities- Manage bid documents, assign job numbers, update bid calendar/boards.
- Enter bid quantities in Heavy Bid; download quantities from NYSDOT; solicit subs/suppliers; handle MWBE outreach.
- Prepare bid forms, order bid bonds, organize electronic/paper quotes.
- Maintain subcontractor insurance files and assist with certified payrolls and EBO payments.
- Print plan sheets, upload documents to Plan Grid, support job trailer setup.
- Enter daily sales tickets, invoice customers twice monthly, update revenue/cost spreadsheets.
- Maintain pricing spreadsheets, assist proposals, track receivables (60+ days), support DEC reporting.
- General office tasks: phones, monthly invoicing, credit card reconciliation, billing support.
- Administrative experience required; construction admin preferred.
- Strong organizational skills; ability to multitask.
- Proficient in Microsoft Office; willing to learn Heavy Bid, Plan Grid, EBO.
- Strong communication and follow‑up skills.
