Location: New York

In this role, you will be responsible for the success of client programs for our STEM education program in NYC, ensuring customer success. You will keep all clients/projects on deadline and will know the status of all clients on a daily basis. You will work closely with the executive director and HR director to manage emails, calendar, deadline tasks, etc. You should have a strong interest and skill set in operations, team and project management, and be ready and able to improve company processes in our SOPs.

You will manage the executive directors and operations emails for “inbox zero” communications and calendar/appointments. You will have 1-2 hours of live Google Meet meetings each day with one or more members of our small team to prioritize to‑do’s.

Growth Oriented Position

You will start at 15-20 hours each week with a hope and expectation that you will work more hours per week, on the way to full‑time, in the near future. You will work closely with the executive director and HR director and others to complete your tasks. We intend to hire two people for our operations team based on this job ad.

We intend to make the highest performing person full time and the second person to remain in a part time capacity but also doing important work.

Your Daily Tasks
  • Follow specific steps in SOPs to execute daily/weekly tasks
  • Make improvements to SOPs every week and report those improvements
  • Manage all operations deadlines through Asana project management
  • “Inbox Zero” email management of Executive Directors and Operations emails
  • Calendar/appointment management for small team
  • Weekly email/phone communication with clients to confirm details of programs/contracts
  • Self‑reporting on your responsibilities weekly, holding yourself accountable for improving
  • Prioritize your tasks and report when a deadline might be missed so we can adjust as needed
  • Careful maintenance of Google Sheets, Docs, Asana
  • Manage our instructors on a 10 Point Checklist daily and manage improvement interventions
  • Communicate with clients and vendors to ensure customer happiness and success
Skills
  • Self Starter:
    You must be a proactive, self‑directed, problem solver, able to prioritize your work
  • Highly organized (a great memory is a big plus)
  • Criticism for Growth:
    You must actively seek and give criticism for your/our improved performance
  • Able to teach yourself quickly and ask specific questions about what you need
  • Fluency in English (written and verbal)
  • Communication skills to include, but not limited to, creative writing, internal and external communications, etc.
  • Experience in Asana or some other project management (we use Asana)
30-60-90 Probation Period

Your work performance will be reviewed closely in each of your first few weeks of employment, starting in the first week of your work. You will have specific, deadline deliverables and you will receive written and/or verbal feedback from one or more of the admin team. You will receive feedback from the admin team throughout your work, especially in the first few weeks.

If you are communicating well, asking questions about what you do not know or understand, and checking off your to‑do’s on deadline, you’re doing well, keep it up. If you are not communicating about what you do not understand and are not meeting your deadlines, you will be receiving feedback on that too and are not likely to continue in this role.

If you can make the detailed case that your abilities put you at the top of our stated pay range, you will still likely start at a lower rate (within our range) and your rate will increase on an agreed upon timetable (30, 60, 90 days evaluation) based on your performance. All positions and their pay rates for all members of our team, can go up or down, based on job performance.

We like to increase pay rates over time but if your pay rate is going down based on continuous underperformance, you’ll likely soon be moving off the team.
