Background

The Asset and Lease Management Analyst reports to the Facilities and Administrative Specialist and is entrusted with the assistance in administration of the UN Women Global Lease Database and the custody of the office assets mostly ICT equipment and furniture. The role involves assistance in support and coordination of the review and signature process for all UN Women premises agreements, including commercial leases and memorandum of understanding (MOU) with other UN agencies and/or governments, and assistance with assets physical verification exercise, reporting and back up support.
Scope of work:
- Provide technical support to HQ, regional, and country offices on the Lease Management System (LMS), including troubleshooting, user guidance, and coordination with the external IT development team to implement system updates and enhancements.
- Review and refine global lease management business processes, ensuring alignment with best practices and UN Women policies.
- Maintain and update the global premises agreements database, ensuring accurate abstraction, tracking, and analysis of key contractual terms, amendments, and critical dates.
- Monitor lease expiration dates and other key milestones, proactively engaging with field offices to ensure timely renewal or relocation actions in line with year‑end closure requirements.
- Coordinate the annual HQ lease certification process and consolidate country office submissions for audit and year‑end reporting.
- Review global lease agreements and certifications to ensure accuracy and completeness, including preparation of summaries of in‑kind contributions for rent‑free premises.
- Provide technical review of lease documentation submitted to the Procurement Review Committee (PRC), follow up with originating units, and ensure final approval prior to recommending signature through LMS.
- Support negotiations and preparation of sublease agreements for surplus HQ office space, liaising with brokers and partner UN agencies to secure suitable tenants and ensure effective oversight of sublease arrangements.
- Support the planning, coordination, and execution of the Global Fixed Assets Annual Physical Verification exercise, ensuring compliance with UN Women’s asset management policies and Financial Regulations and Rules (FRR).
- Provide back‑up support to the HQ Asset Management Associate/Specialist, including responding to asset‑related queries and assisting with asset reporting requirements.
- Contribute to the update, dissemination, and implementation of major asset management policies and procedures, including support in establishing the Property Survey Board and strengthening global inventory and property, plant, and equipment management under the revised FRR.
- Deliver data analysis and technical inputs to support global coordination on UN Common Premises/UN House initiatives in line with UNSG reforms.
