We are seeking a part‑time Office Event Coordinator (m / f / d) in New York to join our Employee Experience team for up to 12 hours per week (onsite, generally spread over 2 days). Tasks
  • Plan and coordinate a wide range of office events, including breakfasts, lunches, happy hours, and team‑building activities and bigger global company events. Organize celebrations for birthdays, new joiners, work anniversaries, holidays, and other special occasions that foster a strong, inclusive team culture.
  • Manage office supplies, snacks, drinks, and equipment, while keeping track of the NYC Employee Experience budget. Handle vendor relationships, manage mail and shipments between hubs, process invoices and payments, and maintain accurate expense records.
  • Oversee day‑to‑day office operations and environment, ensuring the space is functional, welcoming, and well‑organized. Manage maintenance, repairs, vendors, and storage areas, plants, local perks while coordinating with the business center on logistics like entry cards and office access. Lead workspace improvements or relocations, and ensure cleanliness, sustainability practices, and compliance with safety standards.
  • Collaborate with cross‑functional teams such as HR, IT, and the DEI Employee Resource Groups, by assisting with onboarding, workspace setup, inventory tracking, and cultural or team‑wide initiatives. Provide hands‑on support to help enhance organizational efficiency and employee experience.
  • Champion a welcoming, inclusive, and sustainable office culture by embedding eco‑friendly practices into daily operations and events, leading wellbeing initiatives that support mental, physical, and social health, and fostering a sense of belonging through thoughtful, community‑driven experiences.
  • Manage internal communication across Slack, intranet, and other tools, acting as the primary point of contact for our NYC colleagues and for visitors from other office locations. Keep communication clear, proactive, engaging, and community‑driven by regularly sharing updates, celebrating team wins, posting shoutouts, and running quick polls or surveys to boost visibility and participation. Ensure the intranet stays up to date with relevant office information, event recaps, onboarding materials, and announcements.
  • Take ownership of ad‑hoc projects as needed, supporting evolving business needs and identifying creative opportunities to improve the office environment and overall employee satisfaction.
You Bring
  • Experience in event planning, office management, or a related role is a plus, but not required.
  • Excellent organizational, communication, problem‑solving, and time management skills are essential, as you’ll manage multiple tasks in parallel.
  • This role suits an outgoing person with strong emotional intelligence, empathy, patience, a collaborative mindset, and confidence in public speaking. You’ll also help maintain a tidy, well‑organized office environment, including responsibilities such as recycling coordination and plant care.
  • Flexible and reliable, with a proven ability to meet deadlines and adapt to changing priorities and schedules, including occasional evening events to ensure a great employee experience.
