Role OverviewWe are looking for a Front Desk Coordinator who is more than just the face of the practice — a true team player who helps keep the front office running smoothly in a fast-paced clinical environment. You will greet patients, manage a high-volume phone line, support scheduling and intake workflows, and collaborate closely with the clinical and administrative team to ensure seamless operations.
This role requires warmth, professionalism, and precision, along with the ability to stay calm, organized, and adaptable while juggling multiple priorities in a dynamic, high-energy setting.

Key responsibilities Patient experience and front desk operations- Welcome patients, confirm key details, and ensure a smooth check-in and check-out experience
- Create a calm, professional environment that reflects the practice’s standards
- Communicate clearly with patients about next steps and logistics
- Answer and route calls using Ring Central, take accurate messages, and follow escalation protocols
- Support scheduling workflows and coordinate appointments with attention to provider availability and visit type
- Assist with reschedules, cancellations, and time-sensitive scheduling needs
- Support intake completion and verify required paperwork prior to visits
- Enter and update patient information accurately in eCW and internal systems
- Coordinate with clinical and operations teams to ensure visit readiness
- Keep the front desk organized and stocked, maintain clean handoffs, and elevate issues early
- Support daily tasks that keep the office running: scanning, printing, mailing, and basic office coordination
- Contribute to process improvement by identifying recurring issues and suggesting fixes
- Maintain a basic understanding of out-of-network (OON) benefits and patient cost-sharing responsibilities
- Communicate clearly with patients regarding cost expectations and next steps
- 2+ years of experience in a front desk, patient access, hospitality, or high-touch customer service role
- Healthcare experience required
- Out-of-network experience preferred
- Strong written and verbal communication skills with a professional, warm presence
- Detail-oriented with excellent follow-through and ability to manage multiple priorities
- Calm under pressure; able to resolve issues with discretion and sound judgment
- Tech-forward and comfortable learning systems quickly (eCW, Ring Central, Google Workspace; a plus)
- Reliable, punctual, and committed to in-person work Monday through Friday
- Compensation: based on experience
