The Firm:
We are a fast-paced, plaintiff litigation boutique based in New York, dedicated to high-stakes advocacy and delivering justice for our clients. We operate with a high level of precision, a sense of urgency, and a commitment to excellence.
The Role:We are seeking a high-caliber, proactive Executive Assistant to provide comprehensive support to a Named Partner. This is not a typical administrative role; you will be the "right hand" to a lead litigator, managing a complex professional calendar and ensuring the seamless operation of both legal and executive functions. The ideal candidate is a master of logistics, meticulously organized, an impeccable communicator, and someone who thrives in a high-pressure, deadline-driven environment.
This role provides a genuine opportunity for significant growth, and offers unique upward potential.
- Strategic Calendar Management: Coordinate a sophisticated schedule involving court appearances, depositions, high-level firm meetings, and speaking engagements.
- Communication Gatekeeping: Serve as the primary point of contact for the Partner, managing high volumes of email and phone correspondence with clients, opposing counsel, and court personnel.
- Litigation Support: Assist with the preparation and filing of legal documents, managing settlement files, and organizing mediation binders or presentation materials as needed.
- Travel & Logistics: Arrange travel itineraries and provide real-time support for out-of-state litigation and meetings.
- Inventory Management and Oversight: Own the end-to-end supply chain for the office, from administrative supplies to internal hospitality, ensuring zero downtime in firm operations.
- Experience: Minimum 3+ years of experience in an Administrative role, preferably as an assistant or within a litigation law firm or a high-stakes professional services environment.
- Discretion: Proven ability to handle highly confidential and sensitive information with absolute integrity.
- Technical Proficiency: Mastery of Microsoft Office Suite (Word, Excel, Outlook) and AI technologies (Claude, Gemini, ChatGPT); experience with legal case management software a plus.
- Communication: Exceptional written and verbal communication skills; ability to draft professional correspondence and proofread legal documents with a keen eye for detail.
- Adaptability: A "no task is too small" attitude combined with the ability to anticipate needs before they arise.
For this role, we offer a salary starting at $65k+, (salary is negotiable and commensurate with experience). This firm also offers a comprehensive benefits package, including 401(k) with match, transportation benefits, and medical, dental and vision insurance.
To Apply:If you are a disciplined professional who takes pride in keeping a busy executive organized and ahead of the curve, we want to hear from you. Qualified applicants should submit a resume directly through Zip Recruiter.
