Job Description:

Our client is seeking an Office Coordinator / Office Manager to manage daily office operations and provide administrative support to attorneys and staff. This role ensures the office runs smoothly, maintains a professional environment, and supports leadership with a variety of operational and administrative tasks.

Key Responsibilities:

  • Serve as the main point of contact for phone calls, visitors, mail, and couriers.
  • Assist with office setup, relocations, or moves to ensure smooth transitions.
  • Manage conference room scheduling, catering, and meeting logistics, including setup and teardown.
  • Maintain office organization, order supplies, and coordinate vendor and facility services.
  • Provide administrative support including calendar management, travel arrangements, expense tracking, and special projects/events.
  • Assist leadership with operational needs and budget tracking.
  • Support basic IT and A/V needs, such as virtual meeting setup and troubleshooting.
  • Coordinate office events, team-building activities, and other firm functions.

Qualifications:

  • 3+ years of office coordination, administrative support, or operations experience, preferably with a law firm or professional services.
  • Strong organizational and time management skills; able to prioritize multiple tasks.
  • Excellent verbal and written communication skills.
  • Professional demeanor with a client-service focus.
  • Proficiency in Microsoft Office Suite; familiarity with Zoom and Teams.
  • Comfort with light IT troubleshooting and A/V setup.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility for occasional after-hours needs or urgent requests.
  • Full-time
  • Non-exempt, overtime paid for hours over 40 per week
