Job Description:
Our client is seeking an Office Coordinator / Office Manager to manage daily office operations and provide administrative support to attorneys and staff. This role ensures the office runs smoothly, maintains a professional environment, and supports leadership with a variety of operational and administrative tasks.
Key Responsibilities:
- Serve as the main point of contact for phone calls, visitors, mail, and couriers.
- Assist with office setup, relocations, or moves to ensure smooth transitions.
- Manage conference room scheduling, catering, and meeting logistics, including setup and teardown.
- Maintain office organization, order supplies, and coordinate vendor and facility services.
- Provide administrative support including calendar management, travel arrangements, expense tracking, and special projects/events.
- Assist leadership with operational needs and budget tracking.
- Support basic IT and A/V needs, such as virtual meeting setup and troubleshooting.
- Coordinate office events, team-building activities, and other firm functions.
Qualifications:
- 3+ years of office coordination, administrative support, or operations experience, preferably with a law firm or professional services.
- Strong organizational and time management skills; able to prioritize multiple tasks.
- Excellent verbal and written communication skills.
- Professional demeanor with a client-service focus.
- Proficiency in Microsoft Office Suite; familiarity with Zoom and Teams.
- Comfort with light IT troubleshooting and A/V setup.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility for occasional after-hours needs or urgent requests.
- Full-time
