Job Summary

We’re seeking a polished Legal Administrative Assistant to support a busy legal team through a blend of front‑desk reception (30%) and legal/administrative support (70%). This role is ideal for someone who excels at client service, stays organized under pressure, and enjoys working in a fast‑paced law firm environment.

Key Responsibilities Reception & Client Experience
  • Welcome visitors and manage the front lobby with professionalism.
  • Answer and route multi‑line phone calls.
  • Handle incoming mail and client inquiries.
Case & Administrative Support
  • Open, close, and maintain electronic and physical case files.
  • Serve as a liaison between clients and attorneys.
Document Preparation
  • Draft, format, and proofread legal correspondence, pleadings, and motions.
  • Ensure accuracy in spelling, grammar, punctuation, and legal formatting.
Scheduling & Coordination
  • Manage attorney calendars and coordinate hearings, depositions, and meetings.
  • Reserve conference rooms and prepare materials in advance.
Court Filing
  • File documents with state and federal courts, including e‑filing systems.
Required

Skills & Qualifications Experience
  • 1–3 years of law firm experience preferred.
  • Working knowledge of legal terminology and standard legal practices.
Technical Skills
  • Proficient in Microsoft Office (Word, Outlook, Excel).
  • Experience with case management software (e.g., Clio, Time Matters) a plus.
Soft Skills
  • Strong interpersonal communication and client‑handling skills.
  • High emotional intelligence and ability to maintain confidentiality.
  • Exceptional multitasking and organizational abilities.
Work Style
  • Ability to balance front‑desk responsibilities with detailed legal document work.
  • Reliable, professional, and comfortable in a client‑facing role.
