A prestigious Law School in Manhattan is seeking a highly organized and professional Finance Office Assistant / Executive Assistant to provide critical support to the Office of Financial Management and the Associate Dean/CFO. This role serves as a central point of coordination for the Finance Office, as well as various academic centers, institutes, and committees. The ideal candidate is a proactive problem-solver who can navigate a fast-paced academic and financial environment with discretion and precision.
Key Responsibilities- Executive Support: Provide high-level administrative support to the Associate Dean/CFO, including complex scheduling, meeting confirmation, and preparation of briefing materials.
- Office Operations: Manage a wide range of clerical and secretarial duties, including triaging high-volume phones and emails, maintaining files, and managing office supplies.
- Financial Administration: Assist in monitoring budgets and preparing/processing reimbursements and other payments. Modify or create spreadsheets as needed for financial tracking.
- Logistics & Coordination: Prepare detailed itineraries and coordinate travel to and from the university for guests and staff.
- Meeting & Event Support: Set up and manage Zoom sessions, prepare digital and physical materials for committee meetings, and handle general copying/faxing.
- Education: Bachelor’s Degree required.
- Experience: Proven experience as an Office Assistant or Executive Assistant, preferably within a finance or higher education setting.
- Technical
Skills:
Proficiency in Google Suite (Docs, Sheets, Calendar) and Zoom is essential. - Communication: Exceptional verbal and written communication skills with the ability to "triage" inquiries effectively.
- Professionalism: Ability to handle sensitive financial and personnel information with total confidentiality.
- Hours: Monday – Friday, 9:00 AM – 5:00 PM (35 hours/week).
- Flexibility: Fridays may be remote, subject to office needs.
- Commitment: Must be available to start promptly on March 16, 2026
