Position Overview

The Operations Associate plays a critical role in supporting the day‑to‑day operational functions of Marina B, a luxury fine jewelry brand. This position is responsible for coordinating all incoming and outgoing shipments, managing repairs with domestic and international vendors, and ensuring operational processes are executed efficiently and accurately.

This role supports wholesale and retail store operations across all omni‑channel functions, ensuring seamless coordination between channels. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment.

Key Responsibilities Shipping & Logistics
  • Coordinate and process all incoming and outgoing shipments, both domestic and international
  • Ensure shipments are prepared, documented, and dispatched in a timely manner
  • Track packages and maintain accurate shipping records
  • Coordinate with couriers and vendors to resolve delivery issues or delays
  • Handle high jewelry and high‑value merchandise with the utmost care, discretion, and attention to security protocols
Repairs Management
  • Oversee all jewelry repairs and service requests with local Midtown vendors and international partners
  • Prepare, document, and track repair shipments
  • Maintain detailed repair logs and provide status updates as needed
  • Ensure timely completion and secure return of repaired high‑value items
Administrative & Billing Support
  • Check company mailbox daily and distribute correspondence as appropriate
  • Upload vendor invoices and bills to the billing portal accurately and promptly
  • Reconcile and verify shipping invoices (Fed Ex, UPS, DHL) against shipment records prior to payment approval and portal submission
  • Maintain organized records of invoices, shipping documentation, and repair reports
  • Manage petty cash, including tracking expenses, maintaining records, and submitting petty cash reports for reconciliation
  • Conduct weekly inventory checks of office and kitchen supplies, maintaining appropriate stock levels and placing orders as needed
Show & Event Preparation
  • Prepare and organize jewelry, fixtures, and tools for trunk shows, exhibitions, and events
  • Ensure all materials are complete, properly packed, presentation‑ready, and handled with appropriate security measures
  • Coordinate logistics for shipping and receiving show materials
  • Assist with post‑event inventory reconciliation and secure returns
Operational Support
  • Maintain organization of operational supplies and materials
  • Support the operations team with special projects as needed
  • Ensure adherence to company procedures, security protocols, and luxury brand standards
Qualifications
  • 1–3 years of operations, logistics, or administrative experience, preferably within a luxury retail, fine jewelry, or fashion environment
  • Experience handling high‑value merchandise with discretion and care
  • Strong organizational skills and exceptional attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Excellent communication and problem‑solving skills
  • Proficiency in Microsoft Office; experience with shipping systems and billing portals preferred

Salary is $65,000‑75,000 based on experience
