We are working with a leading private equity firm to hire a professional, resourceful Executive Assistant to support a senior investment team. This is a high-visibility role that requires strong organizational skills, excellent judgment, and the ability to operate effectively in a fast-paced, deal-driven environment. The ideal candidate is dependable, proactive, and takes pride in delivering exceptional work.
Key Responsibilities Executive & Team Support- Provide administrative support to senior investment professionals
- Manage complex calendars and scheduling across multiple time zones
- Coordinate internal and external meetings with investors, advisors, and portfolio companies
- Prepare meeting materials, presentations, and briefing documents
- Handle expense reports, approvals, and internal documentation
- Support tracking of investment activity and meeting follow-ups
- Maintain accuracy of documents and deal files
- Assist with CRM/database updates related to contacts, meetings, and deal notes
- Help prepare materials for due diligence, investment committees, and portfolio reviews
- Arrange detailed domestic and international travel
- Serve as a professional point of contact for internal and external stakeholders
- Draft and manage internal communications and team coordination
- Support occasional team events, offsites, and investor meetings
- 3+ years of experience as an Executive Assistant, preferably in private equity, venture capital, investment banking, or financial services
- Strong time management and organizational skills with the ability to manage shifting priorities
- Confident communicator with strong writing and interpersonal skills
- High attention to detail, reliability, and a strong sense of ownership
- Ability to handle confidential information with discretion
- Proficient in Microsoft Office Suite; experience with CRM systems (Salesforce, Deal Cloud, Affinity) a plus
- Base salary: $80,000 – $125,000, depending on experience
