Position Summary

NRDC seeks to fill the position of Board Relations Project Coordinator in our New York office. This role will provide logistical and operational support to the NRDC and NRDC Action Fund Boards and Board Relations team, which is housed within NRDC’s Executive Office.

Reporting to the Associate Director, Board Relations, the Coordinator will work closely with the Associate Director in the planning of Board meetings, orientations, and related events.

The ideal candidate has an extraordinary attention to detail, is a self-starter, quick learner, and has an excellent ability to prioritize assignments and projects to maximize the efficiency and effectiveness of the team. We seek a skilled collaborator, who is highly organized and communicative, exercises good judgment, discretion, and tact, and is comfortable working in a fast-paced, deadline-driven environment.

This is a limited term 2 year position.

Responsibilities

  • Support the Associate Director in board meeting and event planning, ensuring deliverables are met and follow-up items are completed.
  • Support the Associate Director in all logistics of meeting and event planning: attendance tracking, Zoom logistics, budgeting, venue and vendor logistics, travel arrangements, A/V management and on-site execution.
  • Build attendance forms, track attendance, manage hotel blocks, and follow up with various stakeholders to confirm attendance and reservations.
  • Prepare meeting materials, including tent cards, name badges, handouts, and other on-site items, ensuring accuracy and a professional presentation.
  • Provide on-site support to board members, executive leadership and the Board Relations team.
  • Assist in the drafting, editing, formatting and proofreading of board materials, including forms, briefings, memos, presentations, and correspondence.
  • Support the planning and logistics of trustee engagement opportunities, including orientations and educational programming.
  • Build and maintain strong relationships across departments, including Finance, Communications, Development and Office of General Counsel to coordinate Board activities and support seamless execution of initiatives.
  • Manage Board mailings, gifts, and swag, and keep the Board Relations closet organized and fully stocked for meetings and events.
  • Provide ad-hoc, hands-on support for a variety of projects and roles.
  • Be an accessible, collaborative, roll‑up‑the‑sleeves problem solver.
  • Other duties as assigned.

Qualifications

Minimum

Education & Experience:

  • Bachelor's degree or equivalent experience preferred.
  • Minimum of 2 - 3 years’ experience in events planning, non-profit administration or donor engagement required.
  • Asana training and CMP certification a plus

Skills, Abilities,

Competencies:

  • Strong project management and coordination skills; ability to prioritize and balance a high volume of projects and tasks in a fast‑paced environment.
  • Excellent written and verbal communicator; willingness to be in regular communication with the team. Comfort and ease in communicating with a diverse range of stakeholders, including board members, executive assistants, executive leaders and other staff.
  • High attention to detail.
  • Flexible and nimble, ability to adjust to a changing environment and work efficiently under pressure and in high stress environments.
  • Proficient with Microsoft Office (PowerPoint, Excel, Word and Outlook). Experience with Asana, Concur, Salesforce, mail merge and OnBoard a plus. Comfortable learning new software and tools.
  • Ability to travel for in‑person board meetings and events and to work occasional evenings and weekends, as needed.
  • Superior interpersonal skills and polished demeanor and presentation.
  • Ability to maintain confidentiality.
