Legal Secretary / Administrative & Finance Assistant

Role Overview

We are seeking a highly organized and proactive Legal Secretary / Administrative & Finance Assistant to support the smooth operation of our New York office.

This role provides comprehensive administrative and secretarial support to attorneys and partners, while also assisting with basic finance and accounting-related tasks.

Key Responsibilities Legal & Administrative Support
  • Provide high-level secretarial support, including calendar management, meeting coordination, and travel arrangements
  • Maintain and organize physical and electronic filing systems for legal documents
  • Serve as the first point of contact for calls, emails, and visitors
Office Management
  • Handle general administrative tasks such as scanning, mailing, and office supply management
  • Ensure the office environment remains professional, organized, and fully operational
  • Coordinate logistics for meetings and conference calls
Finance Support
  • Assist with basic financial and accounting tasks, such as invoice processing, expense tracking, and reimbursement coordination
  • Support communication with external accountants or finance teams as needed
  • Help maintain simple financial records and documentation in an organized manner
Qualifications & Skills
  • Excellent written and spoken English
  • Professional working proficiency in Mandarin
  • At least 2+ years of experience in administrative, legal secretary, or related roles
  • Prior exposure to basic finance/accounting tasks is preferred (e.g., invoicing, expense management)
  • Prior experience in a law firm or other legal-related environment is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational skills and ability to manage multiple tasks efficiently
  • Self-driven, highly resourceful, and strong sense of responsibility
Work Arrangement
  • Able to work on-site (full-time or three days per week); specific schedule can be discussed and arranged flexibly
