Document Control Specialist

Duration: 12 months (Possible Extension)

Job Functions & Responsibilities
The role will primarily involve the use of Procore, Maximo, Microsoft Office, and other NYPA-designated systems to develop, manage, and control documents throughout the lifecycle of Niagara Capital Projects.

Skills

• Document control-specific experience:

Experience working with: a. Document management systems (DMS) b. Controlled documents (policies, procedures, drawings, contracts, etc.) c. Version control and revision tracking

• Knowledge of:
1. Document numbering systems and file naming conventions
2. Revision control and change management
3. Document lifecycle (creation, review, approval, distribution, archiving)
4. Controlled vs. uncontrolled documents
5. Project closeout documentation and processes

• Ability to:

1. Maintain document logs, registers, and trackers
2. Ensure documents meet formatting and quality standards
3. Manage access rights and document security
4. Retrieve and distribute documents quickly and accurately
5. Organize data and manage multiple priorities; detail-oriented with a meticulous work ethic
6. Communicate effectively, both in writing and verbally

• Software & Tools

1. Office software: a. Microsoft Office (Word, Excel, Outlook, PowerPoint) - intermediate to advanced proficiency b. PDF tools (Adobe Acrobat or similar) - combining, editing, watermarking, etc.
2. Document management systems (one or more): a. Procore, Vault, Maximo, Docu Sign, or similar platforms
3. General office tools: a. Scanners, copiers, multi-function printers, plotters b. Basic database or spreadsheet tracking tools

Education & Certifications

• Associate's or bachelor's degree in Business Administration, Office Administration, Information Management, Engineering, Construction Management, or a related field preferred.
