Hybrid Administrative Assistant – Midtown Real Estate Firm (Near Grand Central)

An established real estate investment and management firm headquartered in Midtown Manhattan, steps from Grand Central, is seeking an Administrative Assistant to support the daily operations of their corporate office. This individual will serve as the first point of contact for visitors and callers, ensuring a polished, welcoming environment while providing general administrative and operational support to the broader team.

The Role

The Administrative Assistant will manage front desk responsibilities, oversee office and pantry supplies, process mail and invoices, and assist with daily office operations. This person will also serve as back-up to the Executive Assistant, providing coverage for scheduling, travel, and special projects as needed. The ideal candidate is professional, reliable, and enjoys working in a collaborative, fast-paced office setting.

Responsibilities
  • Greet guests, answer phones, and manage all front desk and reception duties.
  • Maintain office and pantry inventory, including ordering supplies, snacks, and beverages.
  • Handle incoming and outgoing mail, messenger, and package deliveries.
  • Process invoices and coordinate with accounting for payment approvals.
  • Assist with scheduling meetings, conference room setup, and catering arrangements.
  • Support the Executive Assistant during absences or high-volume periods.
  • Maintain organized filing systems and assist with special administrative projects.
  • Liaise with building management and vendors regarding office maintenance and services.
Qualifications
  • 2+ years of administrative or front-office experience, preferably in real estate, finance, or a professional services environment.
  • Strong communication, organizational, and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace (Calendar, Docs, Sheets, Slides).
  • Professional, polished demeanor with a proactive, team-oriented approach.
  • Ability to multitask and prioritize effectively in a dynamic office setting.
Compensation

$65k-$80k plus Bonus, Company Paid Benefits, and 401K (with automatic match). The above salary range represents Advice's good faith and reasonable estimate of the possible base compensation range at the time of posting and is not reflective of the total compensation package, which may also include benefits, equity and other non-cash incentives.
