Office Support Agent / Receptionist (Local Agent Group IV)
The European Union Delegation to the United Nations, New York is looking for an enthusiastic and service‑minded candidate to fill this role in the Delegation’s Administration Section/Reception.
Responsibilities- Manning the EEAS Reception Desk and answering all phone calls.
- Assisting with meeting room coordination.
- Preparing drinks, setting up lunches and receptions.
- Back‑up duties for the internship coordinator.
- Managing the driver’s calendar together with the Head of Delegation secretariat.
- Maintaining all driver files (hours, calendar, etc.) and serving as the main point of contact with drivers.
- Handling general secretarial duties, mainly concerning administrative issues.
- Updating daily and weekly visitor lists, including statistics, and keeping track of upcoming and annual visitors.
- Assisting with hotel reservations for Brussels‑based officials and visitors.
- Obtaining hotel offers and booking rooms for delegates.
- Providing occasional assistance to VIPs at hotels.
- Applying for UN Passes for Brussels‑based officials and visitors.
- Regularising private telephone bills and programming voice‑mail systems.
- Managing and ordering office supplies.
- Tracking meetings for statistical purposes.
- Handling all deliveries, including dispatching Fed Ex mail.
- Photocopying and distributing correspondence.
- Managing residence and office wine inventory with the help of the Head of Delegation secretariat.
- Adjusting duties in accordance with the needs of the Delegation.
- At least 2 years of proven relevant experience.
- Thorough knowledge of English, both written and oral.
- Professional, discreet and able to safeguard confidential matters.
- Excellent organisational skills and flexibility with regard to working hours.
- Excellent communication and interpersonal skills.
- Ability to work autonomously, remain calm under pressure, and use judgement and initiative.
- Excellent knowledge of IT tools (Word, Excel, Outlook, etc.).
- Ability to interact with a varied range of people in a multicultural office.
- High school diploma is required; a Bachelor’s degree is an asset.
- Experience working in an EU Delegation and/or UN or similar international institution.
- General knowledge of the EU and the operation of an EU Delegation and/or UN.
- Knowledge of French.

Working hours:
37.5 per week. Expected start date:
August 1st, 2026.
Salary range is dependent on relevant and verified employment experience: starting from $51,000 (2 years of experience), $52,000 (3 years), $56,000 (6 years) and above.
