WORKPLACE COORDINATOR
Location: New York, NY (Fully Onsite)
Schedule: 7:30am-4:30pm EST with flexibility to stay onsite for evening events
Pay: $30-40/Hr
Start: Targeting July 14
Job OverviewThis position sits with the world's leading streaming entertainment service with 193 million paid memberships in over 190 countries enjoying TV series, documentaries and feature films across a wide variety of genres and languages. Members can watch as much as they want, anytime, anywhere, on any internet-connected screen. Members can play, pause and resume watching, all without commercials or commitments. This role focuses on ensuring a world-class work environment through collaboration with Workplace Experience and Operations teams.
Responsibilities- Event Management: Take a hands‑on approach to event management, assisting the Workplace Team in organizing and breaking down special events, including happy hours, pop‑up events, internal meetings, and other gatherings.
- Event Space Maintenance: Ensure the cleanliness and organization of event spaces and storage areas.
- Vendor Coordination: Facilitate setup and takedown processes for vendors during events and other large meetings, ensuring smooth logistical operations.
- Employee & Visitor Engagement: Ensure a welcoming and professional presence for guests, candidates, and employees by promptly identifying and addressing their needs with courtesy and professionalism.
- Reception Support: Provide support to the receptionist during lunch breaks and cover absences to ensure seamless front desk operations.
- Communication and Engagement: Actively monitor and engage with the workplace Slack channel and other employee‑facing platforms, assisting the Workplace team in distributing company communications.
- Ticket Management: Own Envoy and Zendesk support requests, ensuring timely and effective resolution of inquiries and issues.

Collaboration:
Work collaboratively with food and beverage vendors to manage coffee services, inventory, and the setup and breakdown of events or meetings. Additionally, manage weekly headcount assessments. - Pantry Oversight: Conduct daily walkthroughs of pantry areas to ensure cleanliness and stock, and perform daily facility walkthroughs to identify and address any maintenance needs by assigning service tickets as required.
- Strong written and verbal communication skills
- Interpersonal skills: approachable and capable of building positive relationships with colleagues and vendors
- At least 3 years of administrative, hospitality and/or customer service experience
- Demonstrated success with cross‑functional teams as this role closely partners across AV, Security, and EHS
- Vendor management experience; including food & beverage services as well as special event support suppliers
- Experience with building guest and ticketing systems
- Basic design experience (Canva, Google Slides, etc)
- Well‑versed in all aspects of G‑Suite tools
- Project or Event management background
- Budget management
- Knowledge of workplace safety standards
- Bi‑lingual in English and Spanish
