Location: New York

Our client, an architecture and design firm , is looking for a Temp to Perm Workplace Coordinator to join their NYC offices! They are seeking someone who is proactive, resourceful, and no job too big too small attitude!

This assignment will start asap.

Hours: 8:00am – 5:00pm

Fully Onsite

Responsibilities

Facilities Management:

  • Maintain facility records, schedules, and maintenance documentation.
  • Coordinate maintenance, repairs, and vendor service activities.
  • Track work orders and verify invoices for facility-related projects.
  • Support vendor contract reviews and identify process improvements.
  • Administer office security systems and serve as Fire Warden.
  • Partner with leadership on office enhancements and special projects.
  • Ensure the office remains organized, operational, and well-maintained.
  • Manage vendor relationships and coordinate services in compliance with building policies.
  • Support office appearance and upkeep, including periodic office cleanups.
  • Coordinate food and beverage service for meetings and events.
  • Maintain conference rooms, pantry areas, and daily coffee service.

Administrative Support:

  • Greet and assist guests, visitors, and clients.
  • Answer and route incoming calls.
  • Coordinate deliveries, messenger services, and pickups.
  • Manage conference room scheduling and reservations.
  • Oversee records management and archival storage requests.
  • Maintain office supply inventory and place orders as needed.
  • Assist with planning and coordinating office events and activities.
Qualifications
  • Knowledge of Microsoft Office
  • Strong organizational and multi-tasking skills
  • Must be dependable, reliable and people-oriented
  • Problem-solving and professional work ethic
  • Able to handle a physically active role with some heavy lifting (50 Ibs)
