Responsibilities- Manages heavy call volume, answering inquiries, taking messages and directing calls from residents to appropriate departments, as well as, managing cooperators complaints in person as necessary
- Manages radio, phone or computer to dispatch crews, vehicles or other field units as applicable.
- Performsgeneralbookkeepingdutiesandbudgetanalysis,asneeded,as well asmiscellaneousaccountingduties.
- Distributeswork orders andsupplyrequisitionsviatwo-wayradio,email,electronically, orinperson.
- Enterscooperators' monthlypaymentsinto
Yardi
System. - Maintainsresidentialreceivableaccounts
- Monitorsrecords of workordersdistributed, amount of work orders andworkin progress forsupervisors.
- Monitorsrecords, supply requisitionsdistributed,amount of work orders andworkin progressforsupervisors.
- Comparesinventorytocomputerandofficerecords(suchasreceived/un-receivedpurchaseorders,supplyrequisitions,workordersandinvoices) toobtaincurrentinventory.
- Processespurchaserequisitions,packingslips,invoicesandchargebacks.
- Greets and welcomes visitors and obtains initial assessment of reason for visit;
Notifies companypersonnelofvisitor’s arrival. - Compose and track emails to departments, cooperators and follows up with as necessary to track task completion.
- Respondto Shareholders’inquiriesconcerningaccount(payments/charges) information.
- Createsandmaintainsfiles,asneeded
- Createscorrespondenceand/orflyers,as necessary.
- Preparesdistributionofschedulesforunitsworkorders.
- Monitorsandmaintainselevatororinventorylogasnecessary.
- Completesdataentryforallappointments.
- Preparesandclosesworkordersandsupplyrequisitionsuponcompletion.
- Additionaldutiesandresponsibilitiesasassigned.
NOTE:
Service Representatives’ actual duties may vary, depending upon the department to which they are assigned.
- Exceptional written/oral communication,aswellas,excellentcustomerserviceandinterpersonalskills.
- Proficient in Microsoft Office Suite
- Hands-onexperiencewithofficeequipment
- Multitaskingandtime-management skills,withtheabilitytoprioritizetasksisessential.
- Abilitytodealwithahighvolumeofcallersandvisitorswhilemaintainingaprofessionalapproach.
- Knowledge of Yardi Property Management Systemaplus .
- Bilingual, a plus.
- May also require one (1) to three (3) years Accounting/Bookkeeping experience.
- High School Diplomaorequivalent
- College courses or A.S. degree, a plus
- Drug screening, as permitted by, and consistent with, applicable law.
Persons performing service in this position classification may routinely exert up to 25 pounds of force to lift, carry, push, pull, or otherwise move objects. This type of work may involve regular walking, standing or sitting for extended periods of time. It may involve stooping or bending. Handling and working with various materials and objects may be required.
