Ares Management is seeking an experienced Executive Assistant (EA) to provide high‑level professional support to executives within Alternative Credit. The role requires strong administrative support and organizational skills, managing a dynamic calendar, coordinating travel, handling expense reports, answering calls from investors and other partners, and performing general support responsibilities to ensure efficient day‑to‑day operations.
PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIESMeetings and Calendaring – goal‑level calendar management, reflecting executive priorities and adapting as necessary; extensive coordination and scheduling of internal and external meetings and conference calls, including video conferences using Outlook and Zoom, arranging catering, document distribution, and conference‑room technology setup. Prioritize Outlook calendar items and inform the professional of changes. Manage communications between senior management, investors, and their assistants, coordinate conference calls and in‑person meetings, source and print meeting materials.
Schedule meetings and conference rooms per Ares protocol and coordinate set‑up and cleanup for catered meetings.
Communications – assist with email management for the executive, draft responses for approval, act as a gate for inbound requests, make judgments regarding criticality, compile and present follow‑ups and action items for decision‑making.
Travel and Expenses – coordinate domestic and international travel; manage payment and maintain real‑time tracking; compose detailed itineraries, print boarding passes, check‑in executives for flights; organize cash and AMEX expense reports using Concur; maintain traveler profile information.
Project Work – miscellaneous projects such as financial analyses, coordination with third‑party service providers, and event management; participate in and help drive EA Program projects and initiatives across the firm.
After‑hours and weekend accessibility and responsiveness – daily and ongoing support, answering phones, screen calls, taking messages; maintaining confidential records; professional information searches; registering professionals for conferences; coordinating mailings; printing/binding decks and presentations; providing backup support to other senior executives; collaborating with other assistants to develop systems and solve problems.
Bachelor’s degree; 10–15+ years as an Executive Assistant supporting C‑suite level executive(s) in financial services; professional presence, excellent interpersonal skills, strong phone etiquette; eager, can‑do attitude; ability to manage time and priorities in a deadline‑driven, fast‑paced environment; flexible, multitask, response quickly to changing priorities; highly responsive to evenings and weekends; problem‑solving capabilities; independent judgment; anticipate problems and develop solutions; error‑free written and verbal communication;
detail oriented and highly organized; proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word); client‑service orientation; maintain professional demeanor in all situations.
Base salary range: $80,000 – $100,000. Total compensation may include a discretionary performance‑based bonus.
