Location: New York

We’re looking for an Executive Assistant to support the CEO of the company. The ideal candidate for this position will excel if they can keep their calm in a high-pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly.

Thus, the candidate should be detail oriented and a creative problem solver. The Ideal Candidate is a self-starter with prior experience in a SaaS or technology team. Someone who exhibits sound judgment with the ability to prioritize and make decisions. Energetic and eager to tackle new projects and ideas. Comfortable interacting with high-level executives. A team player capable of cultivating productive working relationships across the firm.

Resourceful, can-do attitude. Thrives in a fast-paced environment.

Responsibilities:
  • Schedule appointments and maintain and update daily calendar.
  • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.
  • Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly.
  • Maintain confidentiality of highly sensitive information.
  • Manage complex office administrative work requiring the use of independent judgment and initiative.
  • Handle all logistics CEO related; interact with leadership, internally and externally.
  • Prioritize emails and respond when necessary.
  • Serve as a primary point of contact between the CEO and his team/customers.
  • Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
  • Other duties as assigned.
Qualifications:
  • Bachelor's degree or equivalent experience.
  • 7+ years of experience as an Executive Assistant.
  • 5+ years of experience supporting functions in a SaaS/tech industry.
  • High attention to details.
  • Able to work independently and under pressure.
  • Ability to prioritize and meet deadlines; keep information confidential.
  • Excellent written and verbal communication skills.
  • Ability to multitask.
  • Interpersonal skills.
  • Knowledge of CRM systems such as Salesforce is a plus.
  • Minimum typing speed of 60 WPM.
