Position Summary

The Standardized Patient Operations Coordinator is responsible for supporting the operational needs of the Standardized Patient (SP) program within the Simulation Center (SIM Center). This role plays a key part in scheduling, organizing, tracking, maintaining, and facilitating day‑to‑day activities for SPs. The coordinator supports senior SP Program staff, and collaborates with faculty, educators, and operations staff to ensure the successful execution of simulation‑based training activities.

The role emphasizes administrative support, coordination, and assisting in the preparation of SP training sessions, ensuring SPs are equipped to meet educational objectives.

Operational Support
  • Provide administrative support for simulation sessions including basic materials set up, breakdown, and maintaining the simulation space.
  • Assist with basic training of simulation scenarios using SP’s for various learner groups including medical students, residents, physicians, nurses, and other healthcare professionals.
  • Coordinate the scheduling and deployment of SP’s under the direction of senior staff ensuring all logistics are aligned for simulation activities (ex: coordinate interviews, onboarding, maintaining precise records of SP availability, responses, bookings, cancellations etc.)
  • Responsible for data entry and interaction with sim capture software.
  • Assists with facilitating SP trainings and sessions for various learner groups including medical students, residents, physicians, nurses, and other healthcare professionals.
  • Record weekly timesheets and collaborate with Columbia University Employment Information Center and Temp Agency.
  • Assist with preparing reports related to SP performance, training outcomes, and compliance with institutional standards.
  • Implement, and coordinate a quality assurance program, in collaboration with the Simulation Director and SP lead, to ensure the reliability and consistency of standardized patient (SP) scoring.
People
  • Work under the direction of senior SP Program staff and in conjunction with the Medical Director of the SIM Center, the Office of Medical Education at the Columbia University College of Physicians & Surgeons, (P&S) and physicians and educators at New York Presbyterian Hospital (NYPH) to ensure all logistics are aligned for simulation activities.
  • Act as a point of contact for basic inquiries from learners and staff about SP availability and scheduling, escalating more complex matters to senior staff.

  • Be available to work flexible hours, including evenings and weekends, to support simulation activities and SP schedules.
  • Perform additional duties as assigned to ensure the smooth operation of simulation‑based training programs.
Minimum Qualifications
  • Bachelor's degree or equivalent in education and experience required
Preferred Qualifications
  • Previous experience as a Standardized Patient or experience within a simulation‑based educational environment.
  • Experience in a professional office setting.
  • Previous experience with simulation A/V software (e.g., Sim Capture) is highly desirable.
Other Requirements
  • Bachelor’s degree. The equivalent in education, training, and professional experience can be substituted for the degree requirement.
  • Experience in providing basic administrative support or assisting with program coordination.
  • Strong interpersonal, writing, and communication skills.
  • Proficiency in Microsoft Suite, particularly Outlook, Word and Excel.
  • Basic organizational skills with the ability to handle multiple tasks under supervision.
  • Excellent communication skills (both written and oral) to support interactions with learners and other stakeholders as well as SIM Center Management and Staff.
  • Ability to maintain accurate, detail oriented records across multiple spreadsheets, software, and calendars.
  • Collaborative approach to working with stakeholders, including learners, senior leadership, faculty, and staff.
