We are seeking a highly organized and proactive Workplace Service Coordinator & Vendor Management Associate to support daily office operations while serving as a key liaison for vendor coordination and executive support. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong attention to detail, and can manage multiple priorities with professionalism and discretion.
Responsibilities- Office Administration & Operations – Oversee day-to-day office operations to ensure a seamless and efficient work environment; manage office supplies, equipment, and vendor services; coordinate office maintenance, facilities requests, and workplace services; serve as the main point of contact for internal staff and external visitors.
- Vendor Management & Compliance – Support vendor onboarding, including documentation collection and due diligence; maintain vendor records, contracts, and compliance documentation; partner with internal teams to track vendor performance and contract renewals; ensure adherence to company policies related to third-party risk and compliance.
- Executive Support – Provide administrative support to senior leadership, including calendar management and meeting coordination; assist with travel arrangements, expense reports, and scheduling logistics; prepare documents, reports, and presentations as needed; handle confidential information with a high level of discretion.
- Coordination & Communication – Act as a liaison across departments to ensure smooth communication and workflow; assist with internal events, meetings, and special projects; maintain organized records and filing systems.
- 3+ years of administrative, office management, or vendor coordination experience
- Strong organizational and multitasking skills with exceptional attention to detail
- Experience with vendor onboarding, contracts, or compliance processes preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Ability to handle sensitive information with professionalism and confidentiality
- Experience with systems such as SAP, Coupa, Concur, or similar tools
- Background supporting senior executives or C-suite leaders
- Strong problem-solving skills and a proactive mindset

Full-Time - Salary: 70-75K
- Temp to Perm 36HR quick turnaround
