The Marketing & IT Assistant will be supporting the firm’s national Information Technology and Marketing Departments. The role will provide direct administrative support to the Chief Information Officer and Chief Client & Strategy Officer, as well as other team members, including those on the business development and events teams. Additionally, the role will assist with other national firm initiatives and projects.
Responsibilities- Provide support for a dynamic events team, which includes but is not limited to the venue research, maintenance of internal event tracking lists, and firm-wide events-related communication prep.
- Work with the marketing technology team to support event-related email marketing efforts. Responsibilities may include maintenance of firm alumni network, marketing event invitee lists, and tracking RSVPs.
- Manage calendaring, booking meetings, guest arrangements, reservations, etc.
- Process business expenses for Marketing & IT Chiefs and Directors.
- Arrange travel to other offices, events and conferences.
- Provide onsite support, as needed, at client-facing events, which may include virtual webinars, and onsite events.
- Manage storage and tracking of branded merchandise inventory.
- Submit all technology invoices/receipts for payment in Emburse.
- Respond to vendor emails re overdue payments, business name/address changes, etc.
- The ideal candidate will be highly organized, possess excellent oral, written, and interpersonal skills along with the ability to multitask in a fast-paced environment.
- At least two years of professional administrative support experience is required; IT, events experience or experience working for a law firm or other professional services firm is preferred.
- Executive presence is required with the ability to build relationships among lawyers and staff to achieve results.
- Proficiency in Word, Excel, PowerPoint and using the Internet is a must. Working knowledge of email marketing and web technology would be beneficial.
- Ability to be flexible and work overtime when needed. This position is overtime eligible.
- College degree or professional certifications preferred.
