Job Description
Starting Date: Immediately
35 hours/week
7:30 am – 3:00 pm (inclusive of ½ hour unpaid lunch)
12 months per school year
The NYS HELPS (Hiring for Emergency Limited Placement Program Statewide) is a New York State program that allows civil service agencies to hire qualified permanent employees quickly without requiring a competitive civil service exam. It was created to help agencies fill critical vacancies by streamlining the appointment process, though candidates must still meet all other minimum qualifications for the job.
Responsibilities- Support all facets of the CPSE and CSE processes.
- Attend CPSE or CSE meetings to take meeting minutes, send invitations, track consents, and distribute post‑meeting paperwork.
- Coordinate, monitor, and file special education records, activities, and reporting.
- Assist with routine questions related to office processes.
- Respond to program‑specific inquiries from internal and external parties to provide information and facilitate communication.
- Enter and maintain program data.
- Organize, maintain, and complete Medicaid and STAC paperwork.
- Process scripts for related services.
- Strong communication and interpersonal skills for interactions with coworkers, supervisors, and the community.
- Ability to convey information and receive work direction.
- Customer service and human‑relations skills, including proper phone etiquette and discretion when working with the public and district personnel.
- Efficiency with word‑processing applications, spreadsheets, and databases.
- Maintain confidentiality when addressing student and family concerns.
- Attention to detail, problem‑solving, and strong organizational skills.
- Work positively with a team in a high‑paced environment.
- Previous school‑district experience preferred.
- Flexibility.
Graduation from high school or possession of a high school equivalency diploma, including or supplemented by a course in typing.
NOTE:
Office clerical experience, including typing, may be substituted for the high‑school requirement on a year‑for‑year basis.
NOTE:
Verifiable part‑time and/or volunteer experience will be pro‑rated toward meeting full‑time experience requirements.
Working knowledge of office terminology procedures and equipment; working knowledge of business arithmetic and English; ability to type from clear copy or rough draft at a reasonable speed; ability to understand and follow oral and written instructions; ability to write legibly; clerical aptitude; mental alertness; neatness, tact, and courtesy; and physical condition commensurate with the demands of the position.

Position Type: Full‑Time
Salary: $41,000 per year
