What You Will Be Doing

As a Scheduling Coordinator you will maintain the day‑to‑day calendar of all client‑scheduled events, staff them with appropriate vendor personnel, and coordinate this information between sales, clients, and vendors.

Responsibilities
  • Schedule depositions, arbitration, meetings, and other events in our internal database.
  • Confirm the next day’s calendar with all clients and vendors.
  • Staff proceedings with applicable independent personnel.
  • Answer client emails regarding scheduling.
  • Assist in educating sales on the scheduling process and handle correspondence for sales when necessary.
  • Answer the office phones as needed.
  • Document key information in job folders for each assignment, including client requests, production needs, and billing.
  • Proactively source new vendors for future assignments.
  • Complete all other tasks deemed appropriate for this role and assigned by the manager/supervisor.

  • Minimum bachelor’s degree or equivalent experience.
  • Strong multi‑tasking capabilities.
  • Excellent organizational skills and ability to stay organized throughout the day.
  • Strong attention to detail.
  • Excellent written and oral communication skills.
  • Ability to work well under pressure while maintaining professionalism.
  • Occasional after‑hours or weekend email responses.
Desired Skills and Experience
  • Relevant industry or similar office experience.
  • Previous experience in a challenging or high‑demand role.
  • Knowledge of legal terminology or court‑reporting industry.
