What You Will Be DoingAs a Scheduling Coordinator you will maintain the day‑to‑day calendar of all client‑scheduled events, staff them with appropriate vendor personnel, and coordinate this information between sales, clients, and vendors.
Responsibilities- Schedule depositions, arbitration, meetings, and other events in our internal database.
- Confirm the next day’s calendar with all clients and vendors.
- Staff proceedings with applicable independent personnel.
- Answer client emails regarding scheduling.
- Assist in educating sales on the scheduling process and handle correspondence for sales when necessary.
- Answer the office phones as needed.
- Document key information in job folders for each assignment, including client requests, production needs, and billing.
- Proactively source new vendors for future assignments.
- Complete all other tasks deemed appropriate for this role and assigned by the manager/supervisor.
Skills and Qualifications
- Minimum bachelor’s degree or equivalent experience.
- Strong multi‑tasking capabilities.
- Excellent organizational skills and ability to stay organized throughout the day.
- Strong attention to detail.
- Excellent written and oral communication skills.
- Ability to work well under pressure while maintaining professionalism.
- Occasional after‑hours or weekend email responses.
- Relevant industry or similar office experience.
- Previous experience in a challenging or high‑demand role.
- Knowledge of legal terminology or court‑reporting industry.
